Which Business Processes Should You Automate First?
A practical way to choose an automation pilot using repeatability, data readiness, ownership, and the cost of an error.
Start with a repeated process
Choose a process your team can describe from beginning to end. A recurring inbox request, invoice intake, appointment inquiry, or customer onboarding checklist is easier to scope than a broad goal such as automating operations. Record what starts the work, which information is used, and what counts as completion.
Avoid starting with the most impressive demonstration. Begin with a useful task whose operating rules are stable enough to test and whose exceptions can reach a named person.
Separate process changes from automation
A duplicated approval or an unclear handoff may need a process decision before it needs software. Remove unnecessary work, clarify ownership, and agree the information required at each stage.
Then decide which remaining steps should follow fixed rules and which genuinely need interpretation. Copying an approved identifier is different from understanding an unstructured customer message.
Check access and data readiness
List the applications, document sources, record identifiers, and permissions involved. Confirm whether supported APIs, connectors, exports, or authorized manual handoffs are available.
Review representative inputs, including missing fields and unusual cases. A workflow designed only around one clean example can conceal most of the operating effort.
Define a bounded pilot
Write the proposed scope, the business owner, the reviewer, the accepted output, and the route when the process cannot finish. Establish a baseline for handling time and quality before implementation.
A useful pilot answers three buying questions: does the output help staff complete the task, do exceptions reach someone who can act, and is the total operating effort worthwhile? AI Technologics assesses those questions when scoping a starting workflow and its acceptance checks.
