What Affects AI Automation Implementation Cost?

Understand consulting, development, integrations, usage, and support before comparing project quotations.

Price the workflow rather than the label

An AI chatbot, a document workflow, and an internal knowledge assistant can have very different operating requirements. Even two appointment workflows may differ in systems, approval rules, and exception handling.

Describe the trigger, permitted actions, connected applications, data types, and expected users. A meaningful quotation should explain which of those requirements it includes.

Separate implementation from recurring charges

Implementation may include assessment, design, development, configuration, testing, documentation, and training. Recurring costs can include software subscriptions, model usage, hosting, communications, and support.

Ask who owns each account, which usage assumptions apply, and what happens if volume changes. Avoid comparing a build-only fee with an engagement that includes operating support.

Understand integration and testing effort

Existing connectors can help, but they do not remove the need for field mapping, permissions, source ownership, and recovery behavior. Custom APIs or legacy systems may require additional work.

Testing should include incomplete data, duplicate events, unavailable services, and human review. Those requirements affect scope and should be visible in the proposal.

Agree what changes cost

Clarify the number of workflows, supported input types, integration boundaries, approval points, and handover deliverables. Define how requests outside that scope are assessed.

For maintenance, compare coverage, responsibilities, and the process for updates alongside the price. AI Technologics separates implementation from agreed support and relevant third-party costs in the proposal, so the business can evaluate what it is commissioning and what it will need to operate.
