AI Automation Implementation Checklist
Prepare the people, access, information, and review rules a workflow project needs.
Define the process
Name the workflow owner and describe the trigger, inputs, current actions, and accepted outcome. List the people who use the result and the decisions they must retain.
Identify what is outside the pilot. Examples include additional document types, outbound messaging, unsupported applications, or actions that require a different approval.
Prepare access and representative information
Identify the systems and accounts involved, the permissions needed, and who can authorize them. Provide representative samples through an agreed secure process; do not place passwords or sensitive records in a general inquiry form.
Resolve record identifiers, source ownership, expected data formats, and any retention or processing requirements before building the connections.
Agree validation and recovery
Define the cases the workflow must pass, including incomplete inputs, conflicts, repeated events, and an unavailable connected system. Decide when to retry, stop, or ask a person.
Agree who reviews outputs and how acceptance is recorded. The expected behavior must be clear enough for both the business team and implementation team to evaluate.
Prepare the operating handover
Identify the everyday users, approval owners, incident route, documentation, and support responsibilities. Explain how a change to the business process becomes a change to the workflow.
The approved scope and tested scenarios form the reference for handover and future changes. AI Technologics can include workflow documentation and team training in the engagement, with any ongoing maintenance and expansion agreed separately after the pilot has been evaluated.
